Stax Bill 2026 Summer Product Updates

This summer, the Stax Bill team focused on helping you get paid sooner and with fewer surprises. Across our July, August, and September releases, we made it possible to start billing connected devices earlier, gave finance teams more control over how invoices are built and paid, kept your CRM and connected systems in sync, and surfaced the payments that need your attention before they become problems.

Here’s a look at what landed last quarter and, more importantly, what it means for the way you bill, get paid, and grow.

Start billing sooner for connected devices

For customers billing telematics and connected devices through our Geotab integration, the biggest change this quarter is timing. Billing can now follow the device, not wait on it.

Bill from the shipping date

Stax Bill can now create and activate subscriptions based on when a device ships, rather than waiting for it to be activated in the field. You can also set activation a specific number of days after shipment to match your typical delivery window. Both options are set on the Geotab configuration page.

What this means for you: Revenue starts when your hardware leaves the building, and billing lines up with when customers actually receive their devices.

Marketplace add-ins billed automatically

Geotab marketplace add-in purchases now generate their own invoice line items automatically, so there’s nothing to key in by hand.

What this means for you: Add-on revenue gets captured every time, without someone chasing it down at month end.

Know why subscriptions end

When a device subscription is cancelled, Stax Bill now records a reason code, such as a device termination or a device change.

What this means for you: Clearer insight into churn drivers, so you can separate true cancellations from routine hardware swaps.

Smarter matching and easier troubleshooting

Rate plan and promo codes can now serve as additional identifiers when matching standing orders. When a device subscription can’t be created, you’ll see a more descriptive error explaining why. Device views load faster, and Asset Tracker is now available as a device type filter.

What this means for you: Fewer mismatched plans, faster fixes when something goes wrong, and quicker answers about your device base.

More control over how you invoice and collect

Every business bills a little differently. This quarter’s invoice and billing enhancements give your team more say over what customers see and how payments are applied.

Edit draft invoices with confidence

Ready Draft invoices now support proration and discount adjustments right from individual line items or the invoice view. A new optional setting also lets you turn off automatic tax recalculation on draft invoices, under Settings, then Taxes.

What this means for you: Get the invoice right before it goes out, with fewer voids, credits, and reissues after the fact.

Simpler invoices when you want them

You can now hide the quantity and unit price columns on invoice PDFs while keeping full detail in the admin view. Invoices also display the coupon name instead of the code, and tiered pricing invoices include a prorated remark explaining how the charge was calculated.

What this means for you: Cleaner, easier to read invoices that answer customer questions before they’re asked.

You decide how payments are applied

A new billing preference lets you turn off automatic application of unallocated funds and available balances to overdue invoices, with overrides available at the customer level.

What this means for you: Finance teams that prefer manual allocation keep full control over where every payment lands.

Pause and resume on your schedule

For accounts on hold, you can now schedule a resume date in advance instead of remembering to reactivate them later. Projected invoices update automatically to reflect the scheduled resume.

What this means for you: Seasonal pauses and temporary holds restart on time, and your revenue forecast reflects it.

Clearer communication with your customers

Billing is one of the most frequent conversations you have with your customers. These updates make that conversation clearer and keep the right people in the loop.

Automatically copy account managers

Email templates can now BCC the right account manager automatically, based on your sales tracking code configuration. It works on invoice notifications, overdue reminders, and other customer emails, and is set under Settings, then Branding, then Outgoing Emails.

What this means for you: Account teams see what their customers see, without anyone forwarding emails.

Line-item detail, ready to share

Posted invoices can now be exported with full line-item detail, including quantities, pricing, service dates, and status. You can also include line-item data in the spreadsheets attached to outgoing invoice emails.

What this means for you: Customers with complex invoices can reconcile charges on their own, which means fewer billing inquiries for your team.

Fewer duplicate accounts at signup

Offerings pages can now optionally block signups that use an email address already on file, showing a custom message instead.

What this means for you: Cleaner customer records and fewer duplicate subscriptions to unwind.

We also refreshed the social media options in the Self-Service Portal for a more modern customer experience.

Integrations that stay in sync

Stax Bill sits at the center of your revenue stack. This quarter we gave you more control over how data flows between systems, and more ways to recover when something doesn’t go through.

HubSpot: More control, fewer sync errors

A new option keeps Stax Bill from overwriting HubSpot deal amounts or line items when a subscription changes, which is ideal if your deal values differ from recurring billing amounts. You can also create new customer records from a deal even when the contact is already linked to an existing account. Behind the scenes, we upgraded to the latest HubSpot API and stopped sending records without a HubSpot ID, which removes a common source of sync failures.

What this means for you: Your CRM reflects how your sales team works, and syncs run cleaner.

Resend webhooks with one click

If a webhook fails or never fires, you can now review it in the Event Log and resend it directly, under Settings, then Integrations, then Webhooks.

What this means for you: Downstream systems stay current without waiting on a support ticket.

Better visibility into your revenue

The sooner you see an issue, the less it costs. This quarter added new ways to spot exceptions and understand your numbers.

A new Needs Attention widget

A new dashboard widget surfaces payments that are unknown or stuck in the billing process, so your team can resolve them proactively.

What this means for you: Problem payments come to you, instead of turning up in a month-end reconciliation.

Find and fix bad addresses

A new customer grid filter flags accounts with invalid addresses, which can affect tax calculation and billing.

What this means for you: Cleaner data and more accurate tax on every invoice.

Clearer, faster reporting

The Financial Calendar now shows NSF events separately from standard refunds, and you can download refund and NSF data for offline review. Reports offer clearer detail on which dates and billing periods drive their calculations, and report exports now run on faster, more reliable infrastructure.

What this means for you: Quicker, more trustworthy answers for your finance team at close.

Reliability you don’t have to think about

Alongside the visible features, the team resolved a long list of issues across the quarter. Highlights include more reliable ACH payment handling, steadier QuickBooks Online connections, correct next billing dates for child accounts, multi-currency support in invoice aging reports, and smoother bulk imports and report exports.

What this means for you: Every release quietly does more of the work for you, so billing runs the way it should without surprises.

The direction we’re heading

Taken together, this quarter’s releases push Stax Bill in a clear direction. We’re making the platform:

  • Faster to revenue, with billing that starts when your product ships
  • More controllable, so your team decides how invoices look and payments apply
  • More connected, with integrations that stay in sync and recover on their own
  • More transparent, surfacing issues early and making reporting easier to trust
